Request Access
Knowledge bases in Genie are private to the people invited to them. To use a KB you are not already a member of, you submit an access request to its administrator.
When does this come up?
- You open Chat (
/c) but have no KBs in the selector dropdown — Genie automatically shows the request form. - You hear about a KB from a colleague and want to use it — open your name menu in the top-right → New Request.
- An admin tells you to "submit a join request" — same place,
/create-join-request.
The form
The request page is centered on the screen and has three elements:
- A headline. Everyone sees "Please select an application below to request access from its administrator." If you have no access to any application yet, an extra line appears above it: "You don't have access to any applications."
- A message text area (optional) — up to 500 characters. Use it to introduce yourself or explain why you need access ("Hi, I joined the procurement team last week and need access to the contracts KB"). Admins read this in the notification email and in the User Requests page.
- An application search dropdown — type the KB name to filter. Search is substring-based and ignores diacritics, so "İstanbul" and "Istanbul" both match.
After you pick a KB, a Request to access button appears below the dropdown.
Submitting
Click Request to access. Genie sends the request and replaces the form with a confirmation block showing:
- The administrator's avatar, name, job title, and email — fetched live from Entra ID
- The exact wording: "Your request for accessing to the {app name} application was sent to its administrator."
You will also see a toast notification — typically "Join request submitted successfully" from the backend.
At the same moment, the administrator (and any other admins of that KB) receive an email notification with your name, optional message, and a Review Request button.
What if I'm already a member?
If you already have access to the KB you selected — through direct assignment or through an Entra group — the request is rejected immediately with the error: "You already have access to this knowledge base".
What if I already have a pending request?
Genie does not let you have two open requests for the same KB. If you try again, the response is: "Failed to create join request. You may already have a pending request."
Check your My Requests page to see open requests. If you need to escalate, contact the administrator directly using the contact details that were shown after your first submission.
What if email is disabled?
Join requests rely on email notifications to reach the administrator. If the mail service is not configured for your environment, the form will error with "Mail service not enabled." This is not a user-fixable problem — please contact Support.
